How can customers book appointments online without downloading an app?

Give customers one booking link that opens in their phone's browser, with no app to download. They pick the service, the staff member and a free time, and the appointment lands straight in your calendar. All you need first is your list of services with how long each takes, and your staff and their working hours.

Nobody wants to download an app to book a haircut once a month or a check-up with the doctor. An app needs space on the phone, an account and a password, and updates. Many people give up at the first step.

A link is much simpler:

  • It opens at once in the phone’s browser, like any page.
  • It sits where your customers already are: your Instagram bio, your WhatsApp replies and your Google Maps listing.
  • It works on any phone, new or old.

What to prepare before you start

A booking system is only as good as the information you give it. Before you switch it on, get these five things ready:

  1. Your services and how long each takes. The real time, including preparation and cleaning, not the time you wish it took.
  2. Your staff, and who does what. Not everyone does every service.
  3. Opening hours, breaks and days off, plus Ramadan and holiday hours if they change.
  4. How far ahead customers can book, and how close to the time booking closes. You don’t want a booking arriving five minutes before the slot.
  5. What you ask the customer for. A name and phone number are usually enough. Every extra field makes some people abandon the booking halfway.

An example for a small barbershop:

Service Length Who does it
Haircut 30 minutes Samer, Khaled
Haircut and beard 45 minutes Samer, Khaled
Kids’ haircut 20 minutes Khaled
Facial 40 minutes Samer

What the customer sees, step by step

Once your services and hours are in, booking works like this:

  1. The customer taps the link in your bio or in a WhatsApp message.
  2. They choose a service.
  3. They choose a staff member, or “anyone available”.
  4. They see only the free times. Booked times don’t appear at all.
  5. They enter their name and phone number and confirm.

The appointment lands in the right staff member’s calendar, so everyone knows their day from the morning.

A link only works if people know it exists. In the first week:

  • Send your regulars a personal message with the link. For example: “Hi Abu Zaid, you can now book with us any time from this link, without waiting for someone to reply.”
  • Put it in your Instagram bio, in a WhatsApp Business quick reply and on your Google Maps profile.
  • Print a small QR code by the till, for people who like to book their next visit on the way out.
  • Show your staff how to see their day, and that every phone or walk-in booking goes into the same calendar straight away.

Mistakes that send people back to the phone

  • Wrong service lengths: if a cut takes 45 minutes and you set 30, the whole day runs late.
  • Free times that aren’t free: a staff member on leave who was never taken off the calendar, so customers book with them.
  • A hidden link: if customers have to hunt for it, they’ll message you instead.
  • Nobody answering questions: online booking doesn’t replace WhatsApp. Keep replying to people who have a question.

A quick checklist

  • Services with their real lengths.
  • Staff and who does what.
  • Hours, breaks and days off.
  • Booking limits: how far ahead and how close to the time.
  • The link in your bio, WhatsApp and Google Maps.
  • A message to your regulars.
  • Every phone booking written into the same calendar.

Questions

Do customers need to download an app to book?

No. The booking link opens in the phone's browser like any web page, from Instagram, WhatsApp or Google Maps.

Should I stop taking bookings by phone once I have online booking?

No. Keep the phone and walk-ins as they are, but write every booking from them into the same calendar straight away, so the free times customers see online stay accurate.

What about older customers who don't like booking online?

Book them yourself, by phone or at the counter, into the same calendar. The link is one more way to book, not a replacement for talking to people.

Does the Tfaddal booking page work in Arabic?

Yes. Arabic comes first, and customers can switch to English.
